With BasicOps, you have the ability to accurately track time spent working on all of your projects.
This article will show you how to:
- Enable time tracking
- Track time spent working on your projects
- Report on time tracking
How to Enable time tracking
To enable time tracking, you must first click on Admin in the left hand sidebar. In the Admin screen select the Workspace tab and then check the box labeled Time Tracking.
How to Track your time spent on tasks and projects
Time tracking is initiated at the task level. In other words, you start your time tracking on each separate task. Later, we will see how to track your time at the project level.
In order to start tracking your time, select a project from the project list. Next, within the project you will need to select the task you will be tracking.
In the upper right hand corner of your task, you will see the stopwatch icon. Click the icon and a small dialog box will appear. Here you can click on the Start button to start the time tracking process. You can also add a note which we will be able to access in reports.
Once you click on the Start button, a new window will appear at the top of the screen which will start recording the cumulative time spent working on the task.
If you click on the down arrow on the left hand side of this window, you will see previous tasks for which you have time entries. Here you can start the timer for a specific task, or edit existing time entries. (see image below)
At the top of each task description, there is a tab labeled Time Tracking. If you click on this tab you will see a list of your tracking sessions for that task.
From here, you can manually add a tracking session, edit a session, or delete a session.
Note: You will have to hover over the time session in order to see the edit and delete icon.
The following image shows the Edit Time Entry dialog box. From here, you can change the date, adjust the start and end time, or edit the note.
Reporting on Time Tracking
Under Projects, in the tab marked Summary you will find many options for displaying and reporting on your time tracking.
You have the option of filtering on Today, Yesterday, This Week, Last Week, This Month, Last Month, or Custom Range.
Note that the default filter settings are set to Monthly and Summary. This view will show the cumulative time spent in tasks on a daily basis.
If you select the Details filter, you will see each time tracking session for the day as opposed to a cumulative view. Also, you will be able to edit and delete individual time entries, and see any notes entered.
You can also Export your time tracking data to a CSV file by clicking on the Export button. This will allow you to upload the data to any billing or spreadsheet software.
Reporting time tracking across all projects
In the previous examples, we show how to track and report time in a single project. You can also track time in multiple projects. In order to do this, you need to click on Tasks in the left side panel and then the Time Tracking tab in the Tasks screen. You will see the time spent in each project. You also have the same filtering options and the exporting option mentioned in previous sections.
