Admins can customize how task progress is tracked in your Workspace by adding, removing, and organizing task statuses. Task statuses fall under two types: Open (active) and Closed (complete or cancelled).
In this article, we will cover:
- What Each Status Means
- Adding a New Task Status
- Editing an Existing Status
- Removing a Task Status
- Organizing Task Statuses
What Each Status Means
Here are the available statuses:
New | The task has been added and needs to be worked on. When a task is added and assigned to someone other than the task creator, its status is New. |
Accepted | The person assigned to the task has accepted the task. If the person adding the task is also the assignee, the status is automatically Accepted. |
In Progess | Green means go! The task is being worked on. |
Under Review | The team is reviewing the task. |
Reviewed | The team has reviewed the task. |
Blocked | Something is blocking the task from being completed. |
Cancelled | The task is no longer required. |
On Hold | The task has been deferred to a later time. |
Complete | The task is marked as complete and closed. If a task has subtasks, you can’t mark the task Complete until all its subtasks are marked Complete. |
Adding a New Task Status
To start creating a custom task status, go to Task Status.
Click Add Open Status or Add Closed Status, depending on what you want to do with the task.
Enter a name for the status. Choose a color to represent the status by clicking Select Color.
Editing an Existing Status
Go to Task Status and locate the status in the list.
Click the Edit Name icon or Select Color icon next to the status name. Update the name or color.
Removing a Task Status
Go to Task Status and find the status you want to remove.
Click on Delete Status to remove the task status.
Organizing Task Statuses
You can reorder statuses within the Open or Closed section. To do so, go to Task Status. Drag and drop statuses to change their display order. The order you choose determines how statuses appear in the task dropdown.
